 How do I dictate?
You can either choose to use a digital recorder and upload your dictation to us or dictate into our telephone dictation systems, available 24/7/365. We support most well known recorders such as Olympus, Sony and Philips. An average cost of a digital recorder is $120. We would be happy to recommend one that will suit your needs, and offer you information on where to purchase one.
What are the advantages of using a Digital Recorder?
- You are free to dictate at any time and from anywhere, even on weekends.
- You can upload to your account 24 hours/day, 7 days/week whenever you want, once a day or several times a day.
- You will have a copy of the dictation for as long as you choose to keep it.
What are the advantages of dictating into the phone system ?
- You would not need to buy a recorder
- You can access our telephone dictation system, from anywhere, at any time.
- You could dictate comfortably seated at your computer, or immediately after seeing a patient.
What special equipment do I need?
All you need is a computer with a Windows based operating system to access our encrypted webasite. We also support other computers running Internet Explorer. You would also require access to a high-speed Internet connection (Cable-modem, DSL or T1 lines) for uploading sound files ( your dictation) from your recorder.
How do you return reports?
We return all reports to your account on our secure servers. You can access them easily and download them to your PC or health information system. You can make any changes you want at your end.
Can you customize my reports?
We would be happy to use any specific templates/Macros or letterhead that you want us to use. All you need to do is e-mail them to us.
What turnaround time do you offer?
Our standard turnaround is 24 hours although we usually return the reports well before that time. We also offer turnaround of 6 to 48 hours depending on your requirements and the agreed upon terms.
Work dictated on a Saturday or Sunday will be returned on the following Monday!
We offer this service at no extra charge.
What if I need a report back urgently?
You can contact us by e-mail or phone. We do not charge extra if it is an occasional request
What is your rate?
Our rates are very competitive and we charge by the 65-character line for transcription We will quote based on your volume, mode of dictation and turnaround time requirements.
Is there a minimum volume requirement ?
We serve a wide range of clients from individual physicians to hospitals. Our minimum requirement is a billing of $100 a month, which is approximately 25 reports a month.
How am I billed?
Depending on the volume of business transacted, invoices are raised either monthly or biweekly and are due upon receipt. Invoices are sent by e-mail and payment is by wire transfer.
How secure is my information?
Your information is very secure. We encrypt all sound files and text files - we even exceed HIPAA requirements for encryption. We strictly control access to patient and client information. All our transcriptionists and staff have been trained about security and confidentiality and sign confidentiality agreements before they begin working with us.
